Job Overview:
We are seeking a highly organized and proactive Office, Accommodation & Visa Coordinator to manage office operations, employee accommodations, and support visa and work permit processes for staff. The ideal candidate ensures smooth office functioning, proper housing arrangements, and compliance with UAE visa regulations.
Key Responsibilities:
Office Management:
Ensure smooth day-to-day office operations.
Manage office supplies, inventory, and vendor relationships.
Coordinate office maintenance, utilities, and facilities.
Assist in organizing office events, meetings, and company activities.
Accommodation & Relocation Support:
Coordinate housing arrangements for employees, including onboarding and relocation.
Liaise with landlords, property agents, and service providers.
Maintain records of employee accommodations, contracts, and payments.
Visa & Employee Services Support:
Assist employees with work visas, residence permits, and related documentation.
Liaise with immigration authorities, government agencies, and legal partners.
Track visa expiration, renewals, and compliance requirements.
Maintain accurate records of visa and legal documentation for staff.
Administrative & Reporting:
Prepare reports and provide updates to management.
Support HR and other teams as needed for smooth operations.
Assist in budgeting and cost tracking for office, accommodation, and visa expenses.
Skills
Bachelor’s degree in Business Administration, HR, or related field preferred.
5+ years of experience in office management, employee services, or visa support.
Strong organizational and multitasking skills.
Excellent communication skills in English.
Proactive, detail-oriented, and able to work independently.
Knowledge of UAE labor law, housing regulations, and visa processes is highly desirable.
