As we grow, we are looking for a sharp, organized, and proactive Operations & Strategy Coordinator to work directly with our CEO and help us build systems, streamline operations, and support high-impact initiatives across the business.

    About the Role

    This is not your average admin or coordination job. You will be the CEO’s right hand—helping transform vision into action. From managing internal tools, to coordinating events and facilitator needs, to keeping key projects on track—your work will be essential to ensuring the company operates smoothly, scales effectively, and continues delivering powerful experiences to our community.

    Key Responsibilities:

    Operations & Systems Management:

    • Set up and maintain internal organization platforms (Notion, Google Drive, task boards, etc.)
    • Build efficient systems for file/document management, project tracking, and team workflows.
    • Support the execution of business development, marketing, and operational initiatives.

    Event & Logistics Coordination:

    Liaise with event facilitators, retreat venues, vendors, and partners to ensure smooth execution.

    Oversee timelines, communications, and logistics for events and workshops.

    Support the planning and organization of internal and client-facing experiences.

    CEO & Admin Support

    Serve as a thought partner and project manager for the CEO’s strategic priorities.

    Help organize and prepare documents, meeting notes, follow-ups, and key deliverables.

    Keep the CEO organized and focused—act as a gatekeeper, planner, and facilitator.

    Marketing & Communications Support

    Coordinate with designers, marketers, and other freelancers to keep content and campaigns moving.

    Track and follow up on business leads, client communications, and outreach.

    What We’re Looking For

    2–5 years of experience in operations, coordination, or executive support roles (wellness/startup experience a plus)

    Highly organized and detail-oriented—loves systems, structure, and streamlining

    Tech-savvy—confident with tools like Notion, Google Suite, Airtable, Slack, Canva, etc.

    Strong communication and interpersonal skills—can manage multiple stakeholders with clarity and empathy

    Comfortable in a dynamic, fast-paced environment where priorities can shift

    Independent, self-motivated, and eager to grow with the business
