Purpose of the position/Job Description
We are seeking a highly organized, discreet, and proactive Personal Assistant (PA) to support the CEO/Founder of a fast-paced, high-growth organization. This role demands exceptional professionalism, multitasking, emotional intelligence, and unwavering attention to detail. The ideal candidate will serve as a trusted gatekeeper and extension of the CEO, ensuring their time, schedule, and priorities are aligned for maximum efficiency and impact.
Key Responsibilities
Executive Support
ü Manage and optimize the CEO’s complex calendar across time zone
ü Coordinate internal and external meetings, appointments, events, and travel plans
ü Anticipate and prepare briefing materials, presentations, and meeting documents
ü Handle confidential information with discretion
ü Maintain a high-level understanding of business priorities to proactively manage time and tasks
Communication Management
ü Screen and prioritize incoming communications (calls, emails, messages)
ü Draft, review, and proofread emails, letters, reports, and official communication
ü Liaise with senior stakeholders, clients, investors, and partners on behalf of the CEO
Project & Task Coordination
ü Track follow-ups, deadlines, and deliverables to ensure timely completion
ü Assist with special projects, research, and strategic initiatives
ü Maintain organized records, databases, and executive filing systems
Travel & Logistics
ü Plan and coordinate end-to-end travel, visa arrangements, accommodations, and itineraries
ü Prepare travel briefings, agendas, and post‑trip reports
Lifestyle & Personal Assistance
ü Manage personal appointments, errands, and household logistics
ü Coordinate with service providers, stylists, and concierge services as required

ü Experience in luxury, hospitality, investment, or lifestyle industries (preferred)
ü Poise, polish, and presence suitable for high-profile meetings and events
ü Proven ability to work in dynamic, fast‑paced environments
ü A flexible and adaptable approach with a “no task too small” attitude
Personal Profile
Qualifications
Bachelor’s degree in business administration, Communications, or related field
Key Competencies Required
ü Exceptional organizational, prioritization, and time management skills
ü Strong written and verbal communication skills (English essential; additional languages a plus)
ü High level of emotional intelligence, discretion, and integrity
ü Strong attention to detail with the ability to manage competing priorities
ü Tech‑savvy with proficiency in Microsoft Office, Google Workspace, and scheduling tools
ü Comfortable with occasional after-hours availability or travel
Relevant Experience
Minimum 5 years of experience supporting C-level executives or founders
