We are looking for a proactive and detail-oriented Accounting & Administrations Assistant
to join our dynamic Finance & Administration team. This is an excellent entry-level opportunity for motivated professionals who are eager to build a strong foundation in financial and administration, accounting processes, and day-to-day business operations.
Responsibilities
Finance & Accounting Support
- Assist in daily bookkeeping and ensure accurate recording of financial transactions.
- Support invoice processing, payment tracking, and expense recording.
- Prepare monthly bank reconciliations and support monthly cost tracking.
- Assist in generating financial reports and management accounts to support decision-making.
- Prepare financial dashboards and reports highlighting key performance indicators.
- Support the preparation of financial statements and internal reports for review.
- Conduct basic market research to support financial planning and analysis.
Administrative Coordination
- Organize and maintain financial and administrative records.
- Maintain an efficient filing system for accounting and compliance documentation.
- Coordinate with internal departments to ensure timely submission of receipts, invoices, and other supporting documents.
- Act as point of contact with UAE and KSA government entities (e.g., DIFC, DDA, MISA) to handle renewals, licensing, and compliance matters.
- Overlook subsidiary registration processes and communication.
Vendor & Payment Tracking
- Track payments and follow up on pending invoices with vendors and service providers.
- Review and support documentation for payments across group companies and subsidiaries.
Audit & Compliance
- Assist in preparing documentation for internal and external audits.
- Ensure adherence to company accounting policies and proper documentation of all financial processes.
- Maintain working knowledge of relevant taxation matters (e.g., VAT, Corporate Tax).
Team Support
- Provide administrative coordination and reporting support to and finance managers.
- Participate in cross-functional meetings and assist with process improvement initiatives.
- Support and assist IT with administrative tasks when needed.
Administrative & Human Resources Support
- Assist with the preparation, organization, and submission of visa and work permit applications, including liaising with legal representatives and government agencies.
- Maintain accurate records of employee documentation, visa status, and renewal schedules.
- Provide administrative support for onboarding and offboarding processes, including preparation of new hire paperwork, orientation materials, and exit documentation.
Other
- Provide executive support to the CEO by coordinating all aspects of business travel, including booking flights, accommodations, transportation, and preparing detailed travel itineraries, while remaining available to address any last-minute changes or needs that may arise during the trip.
Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- At least 4 years of work experience in an accounting, finance, or administrative support role.
- Basic understanding of accounting principles and financial reporting.
- Proficiency in Microsoft Excel and accounting software (experience with QuickBooks, Zoho, or similar platforms is a plus).
- Strong attention to detail, organizational skills, and ability to meet deadlines.
- Positive attitude, willingness to learn, and ability to work in a fast-paced team environment.
