    Job description

    We are seeking a highly organized and proactive Administrative Assistant with proven experience in Dubai to join our team. The ideal candidate will have at least 2-5 years of hands-on experience in administration, accounting, bookkeeping, and visa processing. The role requires a professional who is detail-oriented, reliable, and capable of managing diverse administrative functions while supporting the day-to-day operations of the company.

    Candidates must be based in Dubai and available to join immediately.

    Key Responsibilities:

    Administrative Tasks:

    • Manage office correspondence (emails, phone calls, memos, letters).

    • Maintain and organize filing systems (both electronic and paper).

    • Handle scheduling, appointments, and meeting coordination.

    • Manage office supplies inventory and liaise with vendors.

    • Prepare reports, presentations, and documents as required.

    • Support HR functions such as employee record-keeping and documentation.

    • Ensure compliance with company policies and UAE labor laws.

    Skills

    Accounting & Bookkeeping:

    • Process invoices, receipts, and expense reports.

    • Handle petty cash and daily cash flow management.

    • Assist in preparing monthly, quarterly, and yearly financial reports.

    • Maintain accurate records of accounts payable and receivable.

    • Reconcile bank statements and financial records.

    • Support the finance department with audit requirements.

    • Proficiency in accounting and bookkeeping software such as:

    o QuickBooks, Zoho Books, or equivalent.

    o MS Office Suite (Word, Excel, PowerPoint, Outlook).

    Visa Processing & PRO Services:

    • Handle all matters related to employee visas, work permits, Emirates ID, and medical tests.

    • Submit and track visa applications through government portals (GDRFA, MOHRE, ICA).

    • Maintain up-to-date knowledge of visa requirements and UAE labor regulations.

    • Liaise with government authorities for approvals, renewals, and cancellations.

    • Ensure timely processing of all documentation related to residency, visas, and labor cards.

    • Prepare and maintain detailed visa status reports for employees.

    Qualifications & Requirements:

    • Currently based in Dubai with a valid UAE residency.

    • Minimum 2-5 years of experience in administration, accounting, and visa processing in Dubai.

    • Strong knowledge of UAE visa and immigration procedures.

    • Excellent communication skills in English (Arabic is a plus).

    • Strong organizational and multitasking abilities.

    • Proficiency in MS Office and accounting software.

    • Ability to work independently and handle confidential information with integrity.
