    Job Purpose:

    To support all government-related activities, including visa processing, labor legalization, trade license renewals, pension and NQODI payments, visa quota management, and coordination with authorities for labor inspections. Ensures compliance with UAE labor, immigration, and regulatory laws for a fruits and vegetables company.

    Key Responsibilities:1. Visa Processing and Employee Legalization

    • Prepare, submit, and follow up on applications for new employment visas, renewals, cancellations, and dependent visas via eChannels and GDRFA systems.
    • Coordinate for Emirates ID, medical tests, and visa stamping for new joiners.
    • Ensure all employee legal documents are up to date and stored securely.
    • Track visa expiry dates and initiate timely renewal or cancellation procedures.

    2. Government Transactions & Legal Compliance

    • Process and submit pension registration and monthly payment for UAE National employees.
    • Complete and monitor NQODI transactions for employment contract submissions and quotas.
    • Handle visa quota applications, quota adjustments, and establishment card updates through MOHRE and Tasheel.
    • Submit contracts, job offers, and salary approvals to MOHRE portals.
    • Ensure accurate documentation to avoid fines or delays.

    3. Trade License & Company Legal Documentation

    • Assist with renewals of trade licenses, Chamber of Commerce certificates, and establishment cards.
    • Support updating of information across platforms like MOHRE, GDRFA, and Municipality systems.
    • Maintain valid copies of all legal and operational licenses.

    4. Labor Inspections & Audits

    • Coordinate and support labor inspections by MOHRE, Municipality, or other government authorities.
    • Ensure readiness of employee documentation, contracts, and records for inspection.
    • Respond promptly to inspection notices and support in closing any compliance gaps.
    • Assist in preparing internal audit reports related to employee legal status and PRO activities.

    5. Recordkeeping & Reporting

    • Maintain well-organized PRO records, tracking applications, approvals, expiries, and renewals.
    • Prepare periodic reports on visa status, quota usage, and government transaction activities.
    • Communicate updates or policy changes from relevant authorities to HR and senior management.

    6. Employee & Government Liaison Support

    • Guide employees to medical centers, government offices, and typing centers when needed.
    • Develop good relationships with key contacts in government offices (e.g., GDRFA, MOHRE, Tasheel, Typing Centers).
    • Assist employees with inquiries related to visa or legal documentation processes.

    Qualifications & Skills:

    Education:

    • Diploma or Bachelor’s Degree in Business Administration, Human Resources, or related field.

    Experience:

    • 1–2 years in a similar PRO or administrative support role in the UAE.

    Technical Skills:

    • Familiarity with UAE labor, immigration, and residency laws.
    • Hands-on experience with eChannels, GDRFA, MOHRE, NQODI, and GPSSA systems.
    • Basic Excel, Word, and email communication skills.

    Languages:

    • Fluency in English is required; Knowledge of Arabic documentation and communication is a must.

    Other Competencies:

    • Strong documentation and time management skills.
    • Ability to handle sensitive information confidentially.
    • Capable of working under pressure and meeting tight deadlines.

    Experience:

    • PRO typist: 2 years (Preferred)
