Office Manager – Projects & Admin

    Pay: AED6,000.00 – AED8,000.00 per month

    About the Company

    Fajr Interiors is a Dubai-based interior design and fit-out firm specializing in high-end residential and commercial spaces. We are seeking a highly organized and proactive Office Manager to oversee day-to-day office operations, client coordination, internal administration, and project support.

    Role Overview

    This role combines front desk responsibilities with project administration, acting as a central support function across all departments — design, procurement, site operations, and management. The Office Manager ensures that communication flows efficiently, documentation is well-managed, and the workplace runs smoothly.

    Key ResponsibilitiesFront Desk & Client Support

    • Welcome visitors and manage incoming calls, emails, and deliveries
    • Schedule and confirm meetings, maintain a professional reception area
    • Assist with basic client communication (e.g., sending presentations or meeting reminders)

    Office & Administrative Management

    • Manage office supplies, petty cash, and vendor coordination
    • Organize physical and digital files for contracts, drawings, permits, and HR records
    • Track renewal dates for licenses, visas, and authority approvals
    • Oversee cleaners, pantry restocking, and maintenance coordination

    Project Coordination Support

    • Maintain logs of CVIs, signed approvals, consultant feedback, and authority permits
    • Ensure internal project folders are up-to-date with documentation and approvals
    • Coordinate meetings between departments (design, site, procurement)
    • Assist with scheduling and documentation flow for project deliverables

    Procurement & Vendor Support

    • Follow up on delivery dates, quotation logs, and subcontractor paperwork
    • Maintain updated vendor records (licenses, VAT, insurance)
    • File POs and basic procurement records for internal tracking

    HR & Internal Coordination

    • Track employee attendance, annual leave, and document expiry (visa, passport)
    • Assist with onboarding new hires and maintaining employee folders
    • Organize small office events, birthdays, and team celebrations

    Management Reporting Support

    • Prepare weekly summaries of pending tasks and project admin status
    • Follow up with internal teams on overdue or delayed items
    • Assist in coordinating company-wide calendars, reminders, and timelines

    Qualifications & Requirements

    • Bachelor’s degree in Business Administration, HR, Design, or related field
    • 2–4 years of experience in a similar role, preferably in an interior design or construction firm
    • Excellent verbal and written communication skills
    • Strong organizational skills and attention to detail
    • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
    • Professional and well-presented demeanor
    • Ability to multitask and take initiative independently

    Preferred Skills

    • Familiarity with project documentation for interior fit-out
    • Experience coordinating with suppliers and subcontractors
    • Knowledge of DCD, DM, or TECOM authority requirements is a plus
    • Basic knowledge of design tools like Canva, InDesign is a bonus (not mandatory)
