Admin Assistant

    We’re a community-driven woodworking school and maker-space where craftspeople learn new skills. Our ethos is simple: empower people to create with their hands and build a refuge from automation overload.

    The Role

    We need a sharp, proactive coordinator who can master our workflows. You’ll be the glue between the workshop, classroom, storefront, and back office, keeping operations smooth while championing a stellar member experience.

    Key Responsibilities

    Front-Desk & Member Support – greet visitors, handle inquiries (phone, email, WhatsApp), manage bookings, and keep the vibe welcoming.

    Systems & Data Management – maintain Airtable bases (inventory, courses, CRM), push accurate exports to Shopify & QuickBooks.

    Order & Inventory Coordination – process e-commerce orders, arrange couriers, monitor stock thresholds, and raise purchase orders when items hit low-stock alerts.

    Finance & Reporting – issue estimates,, generate invoices, reconcile payments, and prepare monthly KPI snapshots for management.

    Marketing Support – schedule email journeys (Mailchimp), upload IG/LinkedIn posts drafted by our marketing team, and compile engagement stats.

    Must-Have Skills & Experience

    • 3+ yrs in an admin/ops role (retail, education, or e-commerce preferred).
    • Confident with Airtable, Shopify (or similar CMS), QuickBooks Online, and basic spreadsheet formulas.
    • Automation know-how: Google Workspace.
    • Clear written & spoken English; Arabic is a plus.
    • Eagle-eye for detail
    • Customer-centric mindset: You can juggle a ringing phone, a walk-in visitor, and a Slack ping without losing your smile.

    Nice-to-Haves

    • Love for craft and manua skills.
    • Experience uploading products with variant options and handling B2B quotations.
    • Basic design (Canva) for last-minute social assets or signage.

    Timeline & Training

    • Start date: As soon as possible
    • Handover: You will have to jump in the job and be proactive in learning. We will support you in learning.
